【2024 Ver.】Kenny’s New Employee Handbook

■Greetings!
Hello everyone! My name is Kenny from the DMC (Division of Marketing & Communications) at beBit. I joined the company in February 2022.

Roughly 2 years ago, we released an article in our Open Newsletter titled “Kenny’s New Employee Handbook - Tips for a Great First Month.” As it has been 2 years since the release of the article and both the world and company have changed, I decided to write this article as an updated version! As it is an update, please note that there may be some overlap with the previous content.

At beBit, we welcomed many new employees on April 1, 2024, including new graduates. Among those who joined, some might be excited about the new environment, while also feeling puzzled by the “hybrid” system which requires both remote and in-office work. 

Although I joined the company over two years ago, I believe that as a senior colleague in the same workplace, I can be of some help! Therefore, I have compiled useful information for those who have just joined us.. 

I hope that you find this information helpful!

■Create a comfortable work environment

My personal workspace

At beBit, rules regarding working at the office are set separately by each department. In the DMC, a “hybrid” system is in place, where employees work either from the office or from home, depending on the day. The office is well equipped with many desks and monitors, providing a great work environment. However, if you work remotely as well, it is equally important to establish a conductive work environment for your home. 

Establishing a good work environment not only makes your job easier, but it also has a positive impact on your personal life as well. Remote work often blurs the lines between professional and personal time, but effectively separating work and personal lifes in terms of both space and time can significantly improve your daily satisfaction!

Kenny’s Recommendations
●A desk that’s just a little bit larger than you think you need, and a chair that doesn’t make your back hurt
●Prepare food and snacks in advance! If you order delivery too often, you may gain weight (speaking from personal experience)
●Having a second monitor helps boost work efficiency, but more importantly, helps your posture as well.

■Learn about the office and access necessary information for your work on the “beBit Intranet”!

The “beBit Intranet” contains all the necessary information about the office and the company. It includes announcements to the entire company, office usage guidelines, various application forms, manuals, and other important information! If you’re looking for specific internal information or are unsure how to contact other departments, start by checking out the beBit Intranet.

beBit Intranet features that I find valuable
●News and Announcements - Find the latest notices and updates!
●Various Manuals - Detailed manuals regarding beBit’s holidays and office use are documented
●Organization/Staff Directory - Remembering the names of numerous training instructors and new colleagues within the department can be challenging. I make an effort to memorize names while referring to the staff directory (I still check it often, even after two years!)

Learn about your colleagues through Kaonavi

At beBit, you can use the Kaonavi profile book to learn in detail about colleagues you have yet to meet!

●If you want others to get to know you better, try writing a detailed introduction on your Kaonavi profile. Even people from departments you don’t interact with much can get to know you through your Kaonavi self-introduction.
●The self-introduction style is completely freeform, so feel free to write as you like!
●Include details about your background, hobbies, personality, and even photos of your pets to convey a clear picture of who you are.

If you’re wondering, “who is Mr./Ms. XX, who will be conducting our training tomorrow?” or “I love scuba diving - I wonder if anyone else does too?”, you can look up names or search “diving” to see who they are!

■Utilize Slack as best you can!

Most communication nowadays takes place on Slack. While using it for work, you can also join a variety of other channels as well!

#enjoy - search for a community that interests you!

There are channels in which people talk about common interests and topics (#enjoy_[topic]). From remote lunches to sports and movies, there are a variety of topics to choose from. Search on Slack to find a community that interests you!

#times - channels for people to post whatever they want
#times_[name] are Slack channels people create to post anything they want! Individuals can post things from their daily life, or about topics that interest them such as philosophy. You can “follow”(join) individual channels to see what that person is up to or how that person thinks. You can also create a #times channel yourself!

Open channels are free to join!
Channels that are not hidden are free to join for everyone! This is not just limited to #enjoy and #times channels. If you’re curious about certain projects or departments, try joining some of their open channels!
Clock in and out using Slack!
By connecting your Jobcan account to Slack, clocking in and out is as easy as sending one message. Follow the steps below to connect Jobcan and your Slack!

  1. Type a slash (/) in your slack and a dropdown menu should appear

  2. Select and send [/jobcan_register_jbcid]

  3. You should receive a message from Jobcan with the link “https://ssl.jobcan.jp/login/slack?code=xxxxxxx”

  4. Click the link and login. (This step may be skipped if you are already logged in)

  5. You should be connected! 

After the connection is established, you should be able to send /jobcan_touch in your chat to clock in and clock out conveniently.

Send lots of reactions!
Don’t limit yourself to just one reaction - send as many reactions as you want!

Cute animals tend to get a lot of reactions!

■Master the label function on Gmail to declutter your inbox!

As soon as you receive your computer and login to Gmail for the first time, you’ll find a number of emails about new account registrations and information about the company. After you finish setting everything up, you’re ready to delete all the emails… but what if you need to look back at the information?

■Connect through your company smartphone!

●Login to Slack so you can see your messages through your smartphone!
●Login to Google to see your calendar even while you’re on the move!
●Login to Akerun to enter the office space!

●Login to Bitlock to open meeting room doors smoothly!
